Information regarding existing and future bookings

The bookings clerk is dealing with enquiries for bookings as usual. Please e-mail your enquiry to shiphamhall.bookings@gmail.com

Existing bookings that wish to proceed will be honoured subject to meeting restrictions then required by the Government.

Temporary amendment to terms and conditions of hire

Until further notice every Hire Agreement with Shipham Village Hall Trust, is subject to compliance with the Special Notices posted in the hall to comply with Covid 19 legislation as well as the Hall’s Standard Terms and Special Conditions of Hire.

No exclusions are permissible unless prior approval has been specifically granted in writing by the Hall for a specific reason or hire.

Organisers of regular meetings and pre-booked hires will be advised as soon as government states it is safe to reduce social distancing that permits an increase in the maximum numbers allowed

The Organisers of all events must make a list (or keep a register) of names and contact numbers of all who attend an event and keep these for at least 21 days after that event for use should tracing contacts be needed
Sedgemoor D.C. and Hall must be told if they learn of an infected attendee

Those responsible for supervising each event must:
  • Arrange for the sanitation of all surfaces and equipment that may be used by them or the attendees, at the start, during, and at the finish of their hire 
  • Ensure the rooms remain well ventilated (Keep doors and/or windows open if weather conditions are suitable)
  • Draw the attention of attendees to the safety notices and their requirements
  • At the end of hire ask attendees to use the fire exits to leave the building
Organisers of any events cancelled as a result of government restrictions may contact the bookings clerk to arrange tentative alternative dates or request a refund of their booking prepayment if this has not already been repaid.

Covid-19 Requirements
Please register your visit to the hall by using your mobile and the QR poster at the entrance to the hall
If within 7 days of visiting the Hall you develop COVID-19 symptoms you must:
  • Alert the hall immediately by phone on 01173182357 or by e-mail to shiphamhall.bookings@gmail.com
  • Alert organisers of activities you attended at the hall 
  • If you have not already done so, you must seek a COVID-19 antigen test

Room and Equipment Hire

Users may book the Main Hall, the Meeting Room, and the Club Room separately or in combination.
Use of the kitchen or kitchenette and special equipment are booked as extra facilities.

The Village Hall is licensed under the premises Act 2003

Music Licenses

The hall pays an annual joint licence for the use of music at the hall to the Performing Rights Society and PPL.
As a result live music or recorded music may be played at our hall.

Booking Enquiries

The bookings Secretary may be contacted by e-mail sent to shiphamhall.bookings@gmail.com or using our dedicated telephone number 01173 182 357.

To make a Booking enquiry we provide two methods to assist in preparing the information that you will need during your chat with the bookings clerk.

 A Microsoft Word Bookings Enquiry Form which can be completed electronically on your computer ready to return to the bookings clerk by e-mail.

 A PDF Bookings Enquiry Form which can be printed and completed by hand to return by post to the bookings clerk or scanned to return by e-mail.

The form can also be sent as an enquiry.

After booking we will need a completed and signed copy of the form as part of the Hire contract.

The Hire Contract

All hire contracts are between the Hall Trust (charity no.270556) and the Hirer, who is either the organisation or person named as responsible on the enquiry form and on any booking confirmation.


No hire can be treated as finally confirmed until the Hirer has completed and signed an enquiry form and sent it for approval of the bookings clerk.


All hires are subject to payment of any deposit requested on booking.


Payment may be made by direct bank transfer provided you include at the start of the reference section each invoice or booking reference number that is being paid.
Our bank account statements will tell us who the payment is from.

Any Special Deposit will be refunded within 28 days from the end of hire provided that, as a result of the hire no damage or loss was caused to premises or contents, no other damage was suffered, the premises were left clean, all rubbish was removed, and all keys were returned.

Terms and Conditions of Hire

All Hires are subject to the Terms & Conditions of Hire pages 1 to 2.

Additional Special Conditions that comply with the Premises Licensing Act 2003 set out in page 3 apply if any of the following are true.
  • Where the general public is present, whether admittance is by presold ticket, tickets at the door, or the event is open to all.
  • When alcohol is to be supplied to anyone.
That is to say, you entered an X against any box in Section 3 of the Bookings Enquiry Form that has an asterisk*.
